Seeking an HR/Payroll Assistant to work in our beautiful Newport Beach office!

OPPORTUNITY: HUMAN RESOURCES/PAYROLL ASSISTANT - Newport Beach, CA

*Monday - Thursday in office/Friday remote*

Job Summary:

The HR & Payroll Assistant is responsible for providing support to the HR & Payroll Department by maintaining employment records and files, providing customer support to employees and candidates, and providing general administrative support to the HR & Payroll department. This position works in collaboration with the Payroll Supervisor, HR Department and Managers to ensure payroll-related entries are accurate and timely. In addition, collaborates with the team to make employee changes, which includes, but not limited to employee life cycle transactions, payroll changes, reporting, compensation, benefits, FLSA statuses and terminations. This position also performs administrative tasks and services to support effective and efficient day-to-day operations of the organization’s human resources department.

  • Assists with monitoring and managing HR & Payroll general email, ticketing system and voicemail boxes and responds or distributes as appropriate.
  • Answers and manages HR hotline and triages as appropriate.
  • Manages HR Mail – internal and external collection and distribution.
  • Manages employee files for new, existing and terminated employees, including creating new files, updating employee files as needed, answering subpoena requests, and other miscellaneous filing duties.
  • Compiles and prepares reports and documents as assigned pertaining to employment activities.
  • Creates employee transfer/promotion/change letters and data entry as assigned.
  • Supports the HR department in background screening process, onboarding and I9 process, compliance posters, and employee referral and tuition reimbursement requests and payments.
  • Processes HR-related invoices ensuring timely payment.
  • Reviews and reconciles timesheets, working with managers and employees as required.
  • Enters, maintains, and/or otherwise processes information in the company’s payroll system; information may include employees’ hourly rates, salaries, commissions, bonuses, or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other required information.
  • Ensures accurate and timely processing of payroll updates to Insperity, including new hires, terminations, and changes to pay rates.
  • Answers common and frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Maintains the integrity and confidentiality of payroll and human resources files and records.
  • Performs periodic audits of payroll and human resources files and records, ensuring all required documents are collected and filed appropriately.
  • Submits expense reports on behalf of other HR team members.

Education and Experience:

  • 3+ years of Human Resources and/or Payroll experience and Associate’s degree or equivalent from two-year college or technical school, or equivalent combination of education and experience.

Other Qualifications:

  • Outlook Email, Calendar and Contact systems experience.
  • Microsoft Excel and Word experience.
  • Ability to work overtime as needed.
  • Experience with Insperity or similar PEO-style system.

Salary range is $55K-$65K (non-exempt). We offer a competitive compensation package that includes a 401(K) match, rental incentive and renewal compensation, bonuses, and rental discounts depending on location. Regular full-time employees who work between 30-40 hours a week are eligible for medical, dental, vision, other voluntary benefits and vacation accrual, Sick time accrual is provided in accordance with law.
